What HVAC job management software costs in the UK

The published prices in this market span thirty five times over, and the gap is mostly about what is being sold rather than what is being charged.

VAT treatment differs: Eworks Manager states its prices exclude VAT, Tradify and Protean do not state it on the pages we read. Per user, per team, or per plan
These are three different pricing shapes and they favour different firms. Per user (Tradify, Joblogic, Klipboard, Protean) is cheap for a two-van operation and scales linearly into a real number at twenty engineers. Per team in bands (Eworks Manager) means a fifth user costs nothing and a sixth costs a band, which suits a firm sitting comfortably inside a band and punishes one straddling it. Per plan with users included (Payaca) suits a business that wants a predictable line item and has the volume to absorb it.
The things that are priced separately
- Roles. Protean prices back office and mobile users separately, at £90 and £60 per user per month hosted, so the shape of your team changes the bill more than the size of it.
- Onboarding. Payaca publishes a one-off £1,500 onboarding fee; Klipboard's page shows onboarding and training fees of £2,500 and $3,800 depending on tier, sometimes waived. Ask whether the number you have been quoted includes migration of your asset list.
- Storage and documents. Eworks Manager includes a set number of digital documents and 100GB to 300GB of storage per tier, then charges for more. On a business keeping five years of F gas records with photos, that is a real running cost rather than a footnote.
- Messages. Text messages are charged per message on Tradify (10p) and Payaca (4p). Trivial per job, visible on a thousand appointment reminders a month.
When there is no price at all
Commusoft publishes no figure: its plans page describes three tiers and three licence types, states a 12 month contract, and routes to a call. Joblogic publishes only its Standard tier and quotes for Premium and Enterprise. Neither is a red flag on its own. It does mean the price is negotiable, which a published one is not, and that you cannot shortlist on cost until you have given a salesperson your details. If you are going into that call, go in with your engineer count, your office user count, the number of assets under contract and whether you need subcontractor access. Those four numbers are what the quote is built from.
For a budget that does not depend on any of this, work out what the software has to save. Most of these products are sold on removing office admin per engineer per day. If a product costs £45 per engineer per month and your loaded office cost is materially more than that, the arithmetic is not the hard part of the decision: the migration is.
